Purchasing management software

Every purchase approved before it is committed.

Purchase orders, approval workflow, goods receipts and supplier invoices linked together. You know what is ordered, received, owed and overdue.

Included from the Essential plan

A purchase order signed on the corner of a desk, an invoice that turns up two months later, and nobody remembers whether the goods arrived.

Before and with Numa

  • The site manager orders over the phone, the owner finds out from the invoice.

The purchase order goes through an approval workflow: purchasing, project manager, director. Nothing goes out unapproved.

  • The supplier invoice is paid without checking what was delivered.

The invoice is matched against the purchase order and the delivery note; any gap is obvious before you pay.

  • Nobody knows how much is owed, to whom, or since when.

Supplier payables by due date, with the delay in days and the amount in red, on one screen.

What the module does

Approve before you pay (Business plan)

An approval workflow with one, two or three levels depending on the amount. Every approval is timestamped and signed; the supplier receives the order once the workflow is complete.

Match order, delivery and invoice

The supplier invoice picks up the purchase order and the delivery note; the payment is recorded from the invoice, with the account, the method and the balance due.

Know what you owe, and since when

Total payable, overdue invoices and amount per supplier, with the number of days past due. You negotiate terms knowing where you stand.

Steer your suppliers

Volume ordered, invoices, credit notes and monthly trend. Your top five suppliers and what they represent in your purchases.

Nobody orders on their own any more. The purchase order goes through approval, and I see what is committed before the invoice arrives.

Frequently asked questions.

Another question? Write to us, we reply within one business day.

Can I require approval above a certain amount?

Yes, with the Business plan: the approval workflow is configured by threshold and by role, one level for small purchases, three for large ones.

How do I know a supplier invoice matches what was delivered?

The invoice is attached to the purchase order and the delivery note; quantities and prices are compared line by line.

Do supplier payments show up in the cash module?

Yes, immediately. A payment recorded on a purchase invoice leaves the chosen account and feeds the month’s expenses.

Can I group several invoices from one supplier into a single transfer?

Yes, with a batch payment from the cash module, using the file your bank expects.

Is the Purchasing module included in the Essential plan?

Yes: purchase orders, goods receipts, invoices and supplier credit notes from Essential. Multi-warehouse inventory requires the Team plan, and the multi-level approval workflow the Business plan.
